Commercial Maintenance Agreements in Miami

Some properties are better served by planned visits than by repair calls. A maintenance agreement puts the routine work on a schedule, with a written list and photos after every visit.

What a planned agreement covers

The routine work on most commercial properties falls in the trades our own technicians perform. Under an agreement they go through the building on a set rotation and deal with the small things before they become calls. TrionX carries general liability and workers' compensation on that work.

A typical visit takes in door closers and hinges, which drift out of adjustment and wear the frame if left alone. The method is in our piece on annual door closer and hinge service. Keys and access get an audit too: who holds what, which cylinders are overdue for rekeying, which keypad codes are still live. The checklist is in the annual key and access audit.

The technician also checks glass and sealant for cracks, failed gaskets and open joints, replaces stained or broken ceiling tile, touches up paint where traffic has marked it, and recaulks around fixtures and frames. Each property gets the items that apply to it, not a generic list.

HVAC, plumbing and electrical servicing

Florida requires a state license for electrical, plumbing, HVAC and refrigeration work, so those items are carried out by licensed, insured contractors. TrionX coordinates and documents them. That covers things like filter changes and coil cleaning on air handlers, drain and fixture checks, and panel or lighting inspections.

You deal with one company. We book the contractor into the same schedule as the rest of the agreement, and the contractor's findings go into the same written record as ours.

How visits are scheduled and recorded

Visit dates are set with you in advance and follow the rotation agreed at the start. A rotation can be quarterly, with some items on a yearly cycle. A commercial preventive maintenance schedule shows how the items are usually spread across the year so that nothing is done twice or missed.

After each visit you receive a written list of what was checked, what was fixed on the spot and what needs a separate decision. Photos are attached to the items. The records add up over time, which is useful when a landlord, insurer or inspector asks what has been done and when.

How an agreement is priced

Agreements are quoted per property. We walk the building, count the doors, locks, glazing and equipment, note the condition of each, and write the scope and visit schedule from what we find. The quote follows from that scope, so two properties of the same size can differ.

Agreement or call by call

An agreement suits properties with many doors, dated compliance items, tenants who report problems late, or no one on site who walks the building. Call by call suits a small site with a short asset list and someone who notices things. Neither is the right answer for everyone, and our article on annual agreement or call by call sets out the tests we use.

A quarterly property walk is a reasonable first step if you are unsure. It shows what the building needs before you commit to a scope.

Common questions

Questions about maintenance agreements

Do you still do one-off repairs if we sign an agreement?

Yes. Repairs, lockouts and emergency calls work the same way with or without an agreement. The agreement covers the planned visits.

Who performs the work under an agreement?

Locks, doors, glass, painting, carpentry and general maintenance are done by our own technicians. Electrical, plumbing, HVAC and refrigeration are carried out by licensed, insured contractors, coordinated and documented by TrionX.

What do we receive after each visit?

A written list of what was checked, what was fixed and what needs a decision, with photos attached to the items.

How is an agreement priced?

Per property, after a walk-through. The scope and visit schedule are written from what the building needs, and the quote follows from that scope.
